Presentation Instructions

Oral Sessions Presentations

The presenters are kindly asked to respect the following instructions:

  • Upload information about the presenter name and bio on EDAS (Presenter(s) section on the EDAS paper page) one week before the conference
  • Each presentation has a length of 17 minutes, followed by 3 minutes of Q&A
  • Present yourself to the Session Chair in advance of the session.
  • For Special Sessions, the format may be slightly different. You will be contacted by the Special Session Organizers about the details.
  • Prepare your talk such that you will end on time. Session chairs will be advised to keep a strict timing.
  • Upload your presentation files on the conference PC before your session begins. If strictly necessary, the presenter may ask to use his/her own PC for the presentation, but it has to be tested in advance with the conference projector. If you plan to present a video or show any demos, it may be advisable to bring your own notebook.

Microsoft PowerPoint and Presentation Tips

  • Embedding media: PowerPoint embeds image files directly into the file when you save them, while video files are not embedded. Only a link is made to the video file. Copy the video clips you want to insert into the same folder as the PowerPoint file. This will eliminate the problem of PowerPoint losing the link to the file.
  • Streaming: If you want to stream media, it is advised to use local playback instead, as sufficient speed of the WiFi connection cannot be guaranteed at all times.
  • Fonts: Arial and Helvetica are recommended for clarity and compatibility. Confirm a font size of at least 24 points for body text and 36 to 40 points for headings. Light colored text on a dark background is advised. Avoid using red or green. Confirm that the maximum number of lines in text slides is no more than 6 or 7.

IS: Interactive Session with posters

The presenters are kindly asked to respect the following instructions:

  • Prepare a poster of the following maximum size: 1 m wide and 1.5 m tall;
  • Identify your board: each board will be identified by the title of your paper.
  • Posters should be set up before the session starts, even the day before. You can keep it during the whole conference as the two IS sessions will have different boards. To hang your poster ask at the registration desk for useful material for this.
  • “Poster highlights”: at the beginning of each poster session, there will be 1-minute long presentations for each poster. These are intended to present with one single slide (or without slides) the most interesting aspects of the work.

There will be coffee served during the IS sessions. All the participants are kindly asked to grab a cup of coffee and pay attention to the IS presenters.

Poster Creation Tips

  • Fonts: Use a sans serif font such as Arial or Helvetica in a minimum size of 24 pt.
  • Text size: Text, figures and photographs should be readable from a distance of 1 m.
  • Be simple and direct in your poster presentation.
  • Use color for highlighting and to make your poster more attractive.
  • Content: Use short phrases and “bulleted” text throughout the poster; avoid long narrative paragraphs.
  • Handouts and demos: Authors are encouraged to provide handouts, e.g., preprints, extended abstracts, copies of poster panels, etc. You may also bring additional battery-operated audio or visual aids to enhance your presentation.
